Events Internship

IPI’s External Relations Team is seeking qualified applicants for a full-time, six-month paid events internship. This position will play an integral part in assisting and administering events and meetings at IPI. This is an exciting opportunity for an individual who is interested in learning more about event planning and coordination within a not-for-profit setting.

The position requires an energetic multitasker with related experience and excellent judgment, discretion, attention to detail, initiative, and the ability to prioritize. It is imperative and essential that the person in this position has excellent communication skills, the ability to remain calm under pressure, is polite, and has a positive disposition when liaising with staff and guests. The intern will gain knowledge and skills from on-the-job experience, with IPI staff providing guidance and feedback to facilitate the learning process.

The selected candidate will be expected to work in a hybrid fashion (virtually and in-person) throughout the six-month internship. However, for the months of May and June, the candidate will need to work primarily in person. The candidate should be available during standard IPI working hours (9:00am-5:00pm ET), as well as whenever an IPI event is taking place. When an in-person event is taking place, the selected candidate will be expected to work in-person at IPI.

The intern is under the overall supervision of the Events Administrator.

Responsibilities

  • Assist with the coordination and execution of all logistical aspects of IPI events, including the invitation process, check-in of participants, greeting of guests, handling of microphones, displaying of publications, and other matters as they arise;
  • Contact invitees prior to an event and other outreach duties related to the planning of an event;
  • Compile participant list and biographies for upcoming events;
  • Assist with room setup prior to events;
  • Participate in the clean-up process following the conclusion of events, including putting away the microphones, removing left-over food, papers, pens and notepads;
  • Update the event records in Salesforce database with all of the planning information related to an event and record all of the follow-up information, including event attendance;
  • Manage post-event follow-up, including sending follow-up documents to participants;
  • Take inventory of events-related materials as needed;
  • Work evening and weekend hours when assigned; and
  • Other duties as assigned by the Events Administrator.

 Qualifications

  • BA preferred, but not required;
  • Excellent interpersonal and communication skills;
  • Strong organizational skills and an extraordinary attention to detail;
  • Excellent ability to multitask; and
  • Interest in/knowledge of multilateral institutions/international affairs is a plus.

Compensation

The Events Internship is a full-time position (40 hours a week), paid at a rate of $16.00 per hour.
